Booking conditions

Once a quote has been accepted by yourself in writing we will then book the required staff, this forms a written contract between yourself and us.

Deposits are non refundable, any monies paid in advance for sundries are also non refundable.

Cancellation / Termination
Once a quote has been accepted by yourself in writing we will book the staff, any cancellations after this point will incur charges.
Cancellation or termination of any contract must be made in writing and confirmed by us.
The cancellation fee will depend on the date of the event and the date of the cancellation as per below;
More than 12 weeks from the event, 25% of the contract sum is due, or any invoices already raised, whichever is the greater.
Between 12- 8 weeks from the event, 50% of the contract sum is due, or any invoices already raised, whichever is the greater.
Between 8 and 4 weeks before the event, 75% of the contract sum is due, or any invoices already raised, whichever is the greater.
Less than 4 weeks before the event, 100% of the contract sum is due.

Any costs already incurred by us as a company for your specific event such as uniform or sundries will need to be paid additionally in full.

Data protection
HD Events and promotional staffing complies in full with data protection and data security laws, including: Data Protection Act 1998 (DPA), the EU Data Protective 95/46/EU and all applicable laws which replace the same. Including the General Data Protection Regulation (GDPR).
All data held for your event will remain our client’s property. Personal and special data provided will only be shared with key partners involved in the delivery of an event but not with any other party not involved with the event.
Delegate data will not be used for any other purpose than as instructed and in connection with your event. Data will always be transferred securely to known parties, and it will always be password protected.
Data will not be copied nor stored on any external hard-drive and will be securely deleted one year after the last day of any event.
Data subjects may request information about the data held, by email only.

Payment terms
All confirmations will be sent via email at the time of booking. They will have a payment link attached to them.
Invoices must be paid within 2 weeks of a completed event unless special agreements are in place.
Events where sundries are being purchased will be paid via different terms explained in your contract.
